What we will not do

We will not name your organisation in any case study or marketing material without your explicit written consent. We will not resell your surplus into your own market without consent (cross-border routing under NDA where market depth requires it). We will not subcontract destruction to a vendor we have not vetted to NAID-grade Protocol. We will not issue bulk-job certificates that fail regulator audit.

Engagement timeline from first contact to settlement

Day 1-3: scoping call, asset list reconciliation, regulator stack confirmation. Day 3-5: written MYR quote with line-item detail, SOW drafted with service levels and indemnity terms, NDA executed. Day 5-10: pickup scheduled with chain-of-custody manifest pre-prepared, GPS-tracked vehicles confirmed. Day 10-20: pickup + sanitisation in-flight with NIST/IEEE method matched per media. Day 20-25: per-asset Certificate of Destruction issued; refurb-eligible units route through trader-channel network. Day 25-30: MYR settlement against PO with line-item invoicing. Programme engagements run on quarterly business review cadence.

Universal: NIST SP 800-88 Rev. 1, IEEE 2883-2022, DoD 5220.22-M (where contractually specified), NAID-grade Protocol. Region-specific: NIST 800-88 · PDPA Malaysia · BNM RMiT · NACSA · IEEE 2883-2022 · NAID-grade. BFSI engagements add ; personal-data processing under PDPA Malaysia. Per-asset Certificate of Destruction is admissible against all simultaneously — one document covers every framework an auditor in Malaysia is likely to ask about. Confidentiality, NDA and data residency

NDA is standard for every engagement — Maxicom standard NDA executed at SOW signing, customer NDA accepted where mutually agreeable. Data residency: sanitisation happens in-jurisdiction; data-bearing assets do not cross borders before sanitisation completes and certificates issue. Cross-border resale (post-sanitisation) routes through our trader-channel network where local market depth is thin, but the asset at that point is data-free. For sovereign-data-residency engagements, even post-sanitisation cross-border movement is restricted by contract; we route within-jurisdiction only. Engagement records stored in our compliance vault under controlled access for the regulator-required retention period.

Will my data be shared?

No. NDA is standard. Your asset list, your engagement, and your destruction trail remain confidential. We do not name customers in case studies, marketing materials, or third-party reports without your explicit written consent. What if my asset list spans multiple Maxicom regions?

Cross-jurisdiction engagements are consolidated to your reporting-currency entity through internal Maxicom inter-company arrangements. Single SOW, single ledger, single regulator-facing report. Programme manager based with you; country leads execute locally. Quarterly business review covers all jurisdictions and consolidates Reuse-First metrics.

What is the typical settlement amount we can expect for our refresh?

Highly variable — depends on asset mix, age, condition, market timing for AI accelerators. As reference: a typical 500-server BFSI refresh under Reuse-First refurb economics typically settles meaningfully above the destruction-first OEM trade-in counterfactual; a 1,000-laptop fleet refresh with battery in working condition typically settles in a range that materially offsets refresh capex; an AI-accelerator cluster refresh (H100/A100) settles at premium because the secondary market is concentrated. Can you accept attachments larger than the form allows?

Yes — for asset inventories larger than the form attachment limit, send via secure file-transfer. Email us at the address above and we will send a secure-link upload. Alternatively, share via your preferred secure file-share (SharePoint, Box, Egnyte) — we will accept inbound links.

How is the quote structured?

Line-item per asset in MYR. Net of agreed deductions (logistics, witness destruction premium, urgent pickup premium, etc.) called out explicitly. Quote validity: 14 days for steady-state enterprise hardware, 5 business days for AI accelerators where the secondary market re-prices weekly, 30 days for memory and components. We re-quote without penalty where the validity has lapsed and the customer is ready to transact.

What are your insurance and indemnity terms?

Standard Maxicom SOW indemnity covers gross negligence in sanitisation execution, chain-of-custody breach attributable to Maxicom operators, and errors in the per-asset certificate where the error caused regulator finding. We carry professional indemnity insurance sized to enterprise engagements; cover sheet and policy reference available on NDA at SOW signing. Where the customer requires expanded indemnity (typical for BFSI top-classified engagements), the SOW addendum specifies the extended cover and the cost premium.
